Terms and Conditions of Registration and Participation

By registering for and/or participating in an event or activity (each, a “Program”) with the Alumni Association of the University of Virginia (the “Association”), you hereby agree to be bound by these Terms and Conditions of Registration and Participation.

Access. Your registration entitles you to access to the Program(s) for which you have registered.  All other costs associated with your attendance shall be borne solely by you, and the Association shall have no liability for such costs.

Please advise us of any special access requirements at the time of making your booking for any Program.

The Association reserves the right to request that any attendee leave a Program if that individual’s conduct is unacceptable (in the Association’s reasonable opinion).  No refund of registration fees or other costs will be made in these circumstances.

Cancellations are subject to the specific Program cancellation policy which can be found on the Program’s website. Please note that if you do not cancel and do not access the Program, you are still responsible for payment. In no event shall the Association be obligated to refund all or a portion of the registration fee.

If the Association is prevented from carrying out its obligations as it pertains to the Program you registered for as a result of any cause beyond its control, or such Program cannot be conducted due to acts of God, strikes, labor disputes, government requisitions, restrictions or war or apparent act of war, terrorism, disaster, civil disorder, epidemic or pandemic, curtailment or restriction on transportation facilities, or any other comparable calamity, casualty or condition (collectively a “Force Majeure”) the Association shall have the right to immediately terminate the affected Program without liability and shall be relieved of its obligations to you.  If the affected Program is terminated due to a Force Majeure occurrence before the first day of the Program, then the Association will, at its discretion, either reschedule the affected Program and your registration fee will be applied to the rescheduled Program or will refund your registration fee.

Use of Your Personal Data.  By registering and/or participating in a Program, you agree that all information received by the Association from your registration and attendance at the Program may be used by the Association in accordance with its Privacy Policy, which can be found at this link: https://www.virginia.edu/siteinfo/privacy (the “Privacy Policy”).  Please read the Privacy Policy for details of how the Association may process your personal data.  In particular, the Association may contact you as required for the organization and administration of the Program.  When a Program provides an “Attendee List” this means that the names, job titles, and other individual information of all registered attendees of the Program will be included on a list that may be provided to speakers, sponsors, and other attendees.  You can opt out of being included in the Attendee List by contacting the Program planner. Attendees are prohibited from using the Attendee List for their own promotional and marketing purposes or for sending any form of unsolicited communications to other Attendees.

Use of Likeness. By participating in the Program you acknowledge and agree to grant the Association the right at the Program to record, film, live stream, photograph, or capture your likeness in any media now available or hereafter developed and to distribute, broadcast, use, or otherwise globally to disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant to the Association includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use or disseminate the media.

Except as otherwise instructed at a specific Program, you are permitted to make reasonable video or audio recording and to take photographs at any Program, in each case for your own personal use.  You must not make any recordings or photographs for commercial purposes, unless expressly permitted by the Association.

Program Content. You acknowledge and agree that the Association, in its sole discretion, reserves the right to change any and all aspects of the Program, including but not limited to, the Program name, themes, content, program, speakers, performers, hosts, moderators, venue, and time.  Program content may be recorded by the Association.

You agree not to post, link to or otherwise publish any content associated with a Program that is not your own original work or which infringes the copyright or other rights of any third party; contains any form of advertising or promotion for goods and services or any spam or other form of unsolicited communication; contains any confidential information of another party is threatening, offensive, libelous, indecent or otherwise unlawful; is discriminatory in nature for example, comments which make attacks on the grounds of race, religion, sex, gender, sexual orientation, disability or age; personally attacks any Program speaker or any other individual participating in the Program.

Protection of Minors. The Association expects parents or guardians to provide supervision over minors on Grounds or Association property during the Program(s). Parents or guardians should not leave minors unsupervised on University or Association property.

Waiver and Assumption of Risk.  You, on behalf of yourself, your heirs, executors, administrators, legal representatives, and assigns, forever WAIVE, RELEASE AND DISCHARGE the Association, its officers, directors, employees, members, agents, successors, assignees, and legal representatives, from all claims, demands, liabilities, injuries, actions, or other causes of action, if any, either now existing or hereafter arising, known or unknown, arising from or relating to any damage, loss or injury to person or property sustained in connection with or consequence of participating in a Program. You understand and agree that you are knowingly and voluntarily accepting and assuming all risk of accident or damages to person or property resulting from such activity, and acknowledge that you have been hereby adequately warned of the exposed liabilities that may result from participation in the Program. You agree to indemnify and hold the Association harmless against any and all costs and expenses (including reasonable attorney’s fees) incurred in connection with any and all losses, injuries or liability, related to participation in a Program, including, without limitation, those suffered by third parties arising directly from your actions during a Program.
